Planning is an ongoing process that allows your club to plan for the future, set objectives and targets, and demonstrate how goals will be achieved; it gives direction for your committee and members.

Essentials for a club plan

  1. Snapshot of your club (where are we now?)
  2. Purpose Statement (why do we exist? What do we do?)
  3. Guiding Principles/Values (what is important to us?)
  4. Action plan (how are you going to achieve your club goals?)

What do you want to achieve? How are you going to achieve it?  Measuring your success Who is tasked to achieving this goal? When do you want to achieve this by? Is there a cost or what is required to achieve this goal?

Who should be involved in the planning process?

  • Committee members
  • Volunteers
  • Coaches
  • Parents
  • Players.

When should planning take place?

  • Host a planning workshop and invite all parties
  • Have it as a special agenda item in committee meetings.
Planning workshops should be run like a brain-storming session. They are designed to consult with all your stakeholders of the club and let them be involved in the planning process. Once you have an overview from your members, your committee can work on the finer details to have the plan developed into a document.

Once your plan is written:

  • Promote your plan via your communication channels
  • Implement it
  • Report on the progress of achieving your action items in your committee meetings and share your achievements with your members.

Succession planning

Succession planning ensures a smooth transition from one person to another in a volunteer position. Tasks and responsibilities can easily be taken on and delivered by the volunteer now filing the role with minimal disruptions.

Keys to a good succession plan:

  • Position descriptions of each role outlining responsibilities, tasks, and estimated time required for the role
  • A clear plan outlining the club’s direction, goals, actions, KPI, responsibilities, timelines, and resources
  • Policies and procedures manual for operational tasks.
