Cockburn Rotary Spring Fair, 26 October 2025 - Terms and Conditions

Stall Acceptance

  • Applications are reviewed by the Fair Organising Committee and may be rejected if inappropriate.
  • All accepted applications and anyone attending with the stall must complete a City of Cockburn Safety Induction, a link will be forwarded after 12 October.
  • Competing stalls may occur; no exclusive categories are guaranteed.
  • Applications accepted on a first come, first served basis
  • Preferred site placement cannot be accommodated.
  • Stallholders must follow organiser instructions; non-compliance may lead to ejection.
  • The committee is not liable for loss or damage to stallholder property.

Cancellation & Refunds

  • If the fair is cancelled/postponed, site fees are refunded (minus any marquee or power hire).
  • No refunds if you cancel after 12 October 2026 or fail to appear.
  • Late applications incur a $25 fee.

Site Access & Operation

Sunday, 25 October:
  • Bump-in: 7 am - 10:30 am
  • Fair open: 11 am - 8 pm, stall holders permitted to leave after 5pm please follow directions of security or organisers
  • Close: by 7:30 pm (stay is encouraged for night time entertainment)
  • One vehicle/stall for drop-off; park in stallholder carpark by 10:30 am

Health, Safety & Environment

  • Smoke-free and balloon-free zone.
  • Protect marked turtle nests; adhere to turtle trackers’ guidance.
  • Keep sites tidy; remove and recycle all waste.
  • Electrical equipment must be safety tested and tagged.

Food Vendor Requirements

  • Under the Food Act 2008 and City of Cockburn Local Laws all food and beverage vendors must supply copies of the following documentation
    • Food Business Registration Certificate  (Make sure to upload these three documents in to your submission on the Stallholders form)
    • Food Premises Layout
    • Insurance
  • Use committee-provided servery ware; disposable alternatives are not permitted.
  • Provide an appropriate fire extinguisher or blanket for heating appliances.

Insurance Exclusions

Policy exclusions and when you are not covered

The committee’s insurance does not cover:

  • Commercial businesses or sole traders (must have own cover)
  • Buskers using knives, swords, or fire
  • Inflatables, amusement rides, live animals
  • Photo booths, toys, vaporizers, humidifiers
  • Sale of alcohol, tobacco, vaping devices
  • Automotive parts or vehicles
  • Weapons, fireworks, explosives
  • Flammable or hazardous chemicals
  • Medical treatments, devices, therapies, supplements
  • Candles and any open-flame products
  • Second-hand electrical items
  • Children’s play equipment and clothing

Please secure your own insurance for excluded items or activities.
