What is a Deputation?

A Deputation is a collective way to lobby Council regarding a concern shared by a number of people who live or work in the same area.

A group of people can submit a deputation request to Council. A request should include a written statement relating to the subject of the deputation.
If the deputation request is approved, representatives from the group will be invited to a Council meeting to speak directly to Elected Members and Executive Staff. 

Only one Deputation supporting a Recommendation and one Deputation opposing a Recommendation will be accepted. (Total maximum of two presentations per item).  In circumstances where more than one Deputation Request is received for or against a recommendation, they will be required to be combined into one Deputation.

How to Submit a Deputation

A resident wishing to present a deputation on behalf of a group of people must initially forward a written request to the Chief Executive Officer. The request should include a description of the deputation subject that is concise but includes enough relevant details to enable Council to grasp a general understanding of the purpose of the deputation. 

The Chief Executive Officer will refer a deputation request to the Presiding Member of the meeting. If the Presiding Member and the Chief Executive Officer agree to allow a deputation to be presented, the submitter(s) will be invited to attend and meet Council at the meeting where the matter is to be considered. 

At Council meetings there is an allocation of 10 minutes for hearing and discussion of each deputation. Deputations to a meeting must not exceed five persons. A maximum of two people can address the meeting, although others in attendance may respond to specific questions from Elected Members which may be raised through Presiding Member.
