Coolbellup Hub Venue Hire Access and Usage Guidelines

To ensure a smooth, secure, and enjoyable experience for all venue users, please follow the guidelines below.

Key and swipe card collection

Key & Swipe Card Collection: from Coolbellup Library 90 Cordelia Avenue Coolbellup.

Viewings: Only on Tuesday, Wednesday, and Thursday

  • Contact Coolbellup Library staff between 09:00 AM to 4:00 PM

Bookings: weekdays and weekends

  • Collect keys and swipe cards on the day of, or the day before, your booking.

Note: Keys and swipe cards are only issued once the booking is confirmed and all payments, bonds, and relevant documents (e.g. bouncy castles, security) have been received.

Swipe Card Return

  • Swipe Cards/Keys are to be returned to Coolbellup Library Counter on the day at the end of the booking time.
Late returns may result in additional charges or bond forfeiture

Access times

  • Access is strictly limited to the times stated in your booking.
Please make sure you have provided enough time to set up and then pack down your function within your allotted booking time.

Entry and exit procedures

Entry

  • Tap your swipe card once to unlock the main door.

Exit

  • Turn off fans, audio visual equipment, air conditioning, heating, and lights before leaving
  • Confirm all external doors (including courtyard access) are locked.
Refer to the venue’s floor plan on SpacetoCo for access points and room locations.

Cleaning and pack-down requirements

  • Cleaning supplies: While we try to provide basic supplies (dustpan, broom, mop), availability is not guaranteed. Please bring your own, including sponges for benches and rubbish bin liners.
  • Furniture: Wipe all tables and neatly return tables and chairs to designated storage.
Please do not move furniture between rooms unless authorised.
  • Floors: Sweep and spot-clean any spills.
  • Fidge Clearance: Remove all food/drink from fridges and freezers, Microwaves and ovens.
Rubbish: Place all rubbish in the external bin compound or front loader bin. If your venue has a bin compound or front loader bin, you will have a key or swipe card to access it.
  • If the bin compound is full or inaccessible, please remove all rubbish from the premises.
  • Wheelie bins can be transported from the bin compound to your booked room for ease of disposing rubbish. Please make sure to return the bin to the compound
Please do not leave any food, rubbish, or personal items behind. The venue must be left in a clean and tidy condition ready for the next user.

Decorations and signage

  • All decorations, balloons and signage must be removed at the end of your booking.
  • Do not use nails, pins or tape that may damage surfaces. Use approved hanging methods only.

Smoking and alcohol

  • Smoking and Vaping: Smoking and vaping are strictly prohibited inside and within 10 metres of all entrances.
  • Alcohol: Written approval is required to serve alcohol. A license is required to sell alcohol.

Additional notes

  • Noise: Please be mindful of nearby residents and keep noise levels within acceptable limits, especially during evening events.
  • Children: Children must be supervised at all times.
  • Parking: Ensure guests park in designated areas only.
